Is that AM or PM?
Neither really makes sense.
On the subject of hotels, is there one walking distance from the grand tasting? Transportation for people who want to come and go during the tasting as well as schlepping coolers becomes a logistical issue.
11AM-5PM.
Why? Because Redlight Redlight will open as normal at 5:00PM with some special kegs just for our event.
There is only one hotel I would consider to be within walking distance (a mile or so walk) of Redlight Redlight, and I wouldn’t advise staying there. We are going to try and get two hotels, one more budget minded and one a little nicer, that are in the same vicinity.
Not sure how transportation will be done for the grand tasting. I know a lot of us locals will be willing to pick people up, taxis can also be used to get to Redlight Redlight.

So that’s really a grand tasting from 11am until close. Just thinking how human nature will work, we’ll do a normal grand tasting from 11am-5pm, then split 8oz samples from the special kegs until people have had all of the special beers and anything else available, and then go back to opening beers from the coolers. Because even though it’s after 5pm, if someone has something special in their cooler to share it will come out to be shared unless coolers are banned after 5pm and they are shuttled back to the hotel.

I recommend the white board approach with times and people writing the names of bottles to be opened at each point in time.

I agree Joe.
As far as the coolers after 5, I can tell you that Brent has always been accommodating with the Orlando crew. We bring beers to the bar regularly, but we always a) make sure everyone, including the employees gets a pour and b) we tip the bar tenders. I cannot speak for Brent, but I have a hunch he is probably going to be cool with stuff being opened as long as we do support the bar and the staff through the night. Which if you think about it, isn’t not that much to expect, considering we are getting a room to host a massive tasting in for free, and especially considering he is one of us. Just my $.02.

This is 100% true.
The point being that the bar will be open to the public starting at 5:00PM. I’m sure it will be fine if we’re still opening, but we need to show the bar some respect and try not to be too much of a pain in the ass, while still tipping well because we’re likely to be making their job a little harder for the night.

I’ve been trying the white board approach at home for tastings to make sure we don’t get to the end of the night while forgetting to open the top priority beers. It’s helping, but hard to get people in the habit of logging in the beers as they arrive.
